Summary:
Modern Maturity Center used ServTracker by CaseWorthy to transform Meals on Wheels, replacing manual route counts, spreadsheets, and days of state SAMS reporting with one-click kitchen counts, automated state transfers, and accurate MCO billing. The system also caught duplicate meal claims across programs. Results: roughly 75% greater efficiency, with adult day, volunteer, and transportation modules coming next.
How Modern Maturity Center Turned Meals on Wheels From Manual Spreadsheets Into a One-Click Operation With ServTracker
Modern Maturity Center is the largest senior center in Kent County, Delaware, offering home-delivered meals, congregate meals, two adult day programs, senior employment, and fitness programming. The organization implemented ServTracker by CaseWorthy in 2021, starting with Meals on Wheels. Since then, a workflow that once relied on hand-counted routes, stacked spreadsheets, and days of state reporting has moved to a few button clicks, and the team is now opening additional modules to bring more of the center onto one platform.

The Challenge
A Manual Operation That Left No Room for Anything Else
Before ServTracker, nearly every step of the Meals on Wheels operation ran on paper and spreadsheets. Each morning, Meals on Wheels Coordinator Trudie Clay hand-counted roughly 30 routes to build the next day’s kitchen count, reconciled driver sheets against another spreadsheet at the end of the day, and then transferred those numbers again into a separate program for billing. And no matter how carefully the work was done, every re-keyed number was another chance to introduce an error.
State reporting was an even heavier lift: a previous director spent days transcribing new congregate and home-delivered clients from paper intake forms into the state’s spreadsheet just to meet compliance requirements. The manual load also crowded out other work. As Trudie put it, other responsibilities had been pushed to a back burner simply because there was no time to reach them.
How ServTracker Changed the Meals on Wheels Operation
Modern Maturity Center went live on ServTracker in 2021 and has been layering on additional capabilities as the team is ready. Today the platform anchors daily meals operations, MCO billing, and state reporting, and Trudie estimates that key processes are roughly 75% more efficient overall.
From an hour a day to a click
Once client schedules are entered, ServTracker generates the next day’s services and kitchen count from a single click, replacing the roughly one hour of manual counting. Driver sheets, service units, and reconciliation now flow through the same system instead of moving between paper, spreadsheets, and a separate billing tool, and the time freed up has let other work move off the back burner.
Days of state reporting compressed into a report pull
Delaware’s aging network uses SAMS as its state aging software. ServTracker’s built-in SAMS transfer sends client, demographic, and meals data directly to the state, replacing the previous workflow of transcribing each new congregate and home-delivered client into a state spreadsheet by hand — work that used to take a director days at a time. Where a custom cut is needed, query builders inside ServTracker pull it in minutes.
Cleaner MCO billing at the right rate
Modern Maturity Center is contracted with three Medicaid MCOs for long-term services and supports. ServTracker separates hot meals from frozen meals in billing output, so the staff member responsible for MCO billing can see at a glance, for example, 10 hot meals and 12 frozen meals at their respective rates, which matters under one MCO contract where the two categories are priced differently. Cumulative reports pull the numbers needed for billing directly out of the system after reconciliation and posting.
Cross-program visibility that catches duplication
As Modern Maturity Center opens additional modules, the team is beginning to see clients across programs in one place. Setting up the adult day module surfaced a small number of clients receiving both a home-delivered meal and a meal in-house through their day program on the same day — a duplication the team could not previously see, and one Delaware’s one-meal-per-person-per-day rule does not allow. Catching that overlap matters both for state compliance and for the center’s broader responsibility to avoid fraud, waste, and abuse in publicly funded programs.
Ready answers for leadership, funders, and legislators
When Modern Maturity Center’s CEO recently went to the Delaware Joint Finance Committee to advocate for additional funding, she carried numbers pulled from ServTracker, including annual meals and the direction the organization is going with volunteers, transport trips, and tours. The CFO relies on the same system to close billing and produce his monthly board report by the 8th of each month.
Looking Ahead
With Meals on Wheels running smoothly, Modern Maturity Center is focused on opening the rest of ServTracker across the organization:
- Bring the two adult day programs fully live in ServTracker
- Open the volunteer module so total volunteers, hours, and miles can be pulled from one place instead of collected department by department
- Open the member services module to track members, including veterans, at the click of a button
- Add recreation programming into ServTracker
- Bring transportation onto the platform as the next major program to migrate
- Deepen use of change-of-condition workflows so driver observations flow to case managers with fewer manual handoffs
